Hello Directors,
It was great to see many of you in Chicago last weekend. I hope everyone made it home safely.
As mentioned during Saturday’s meeting, today begins Music Confirmation Window #1. All directors must log into the Performer Intranet and confirm the pieces they wish to keep on their reservation list.
Any piece not confirmed by 11:59 PM on Wednesday, June 17 will be automatically removed and made available to other ensembles.
This memo includes information on music confirmation, rehearsal reservations, and a link to the meeting recording for reference.
Music Confirmation
There are two confirmation periods during which you must confirm the pieces you want to keep.
To confirm a piece:
- Log into your Performer Homepage
- Click the checkmark next to each title you wish to keep
Any piece not confirmed during the window will be removed from your reservation list.
Confirmation Window #1
June 10 – June 17
(Up to 50% over program length)
Confirmation Window #2
July 15 – July 22
(Up to 20% over program length)
During each window, please remove any titles you are no longer considering so they become available to other ensembles.
If a title has a waitlist, failure to confirm will release the piece to the next ensemble in line.

Rehearsal Reservations
Most rehearsals will take place at McCormick Place West on:
- Level 1 – W194 AB
- Level 4 – W470 AB
Each rehearsal room will include:
- Chairs
- Music stands
- Conductor’s podium and stand
- Large percussion instruments
Note: Percussion equipment for rehearsals may differ from performance equipment.
Ensembles may also rehearse at their conference hotel, but arrangements must be made directly with the hotel. Midwest cannot provide instruments or equipment outside McCormick Place West.
Rehearsal Request Timeline
June 29
Deadline to submit first-round rehearsal requests
(Each ensemble may request one rehearsal block)

First draft of the rehearsal schedule will be released.
After the schedule is posted – November 20
Additional rehearsal blocks may be requested.
Please note: Ensembles may not rehearse in their concert venue unless special permission is granted. Your only time in the hall will be during your photo session and sound check immediately before your performance.
