Hello Directors,

I hope your summer is going well!

Music Confirmation Window #2 begins today and runs through July 22. Please log in to the Performer Intranet and confirm the pieces you want to keep on your reservation list.

Any piece not confirmed by 11:59 PM ET on Wednesday, July 22 will be automatically removed and released to other ensembles.

If you are unsure whether your pieces have been confirmed, feel free to reach out and I can check for you.

This memo includes information on music confirmation, rehearsal reservations, and final program submission.


Music Confirmation

During each confirmation window, directors must confirm the titles they wish to keep by clicking the checkmark next to the piece on the Performer Homepage.

Any title not confirmed by the deadline will be removed and made available to other ensembles.

Confirmation Window #1
June 10 – June 17
(Up to 50% over program length)

Confirmation Window #2
July 15 – July 22
(Up to 20% over program length)

Please remove any pieces you are no longer considering so they can be released to other ensembles.

If a title has a waitlist, failure to confirm will release the piece to the next ensemble in line.

Rehearsal Reservations

The first draft of the rehearsal schedule is now available.

If you have not yet requested your first rehearsal time, please do so soon—spaces are filling quickly.

Directors may now also request additional rehearsal time.
For your second rehearsal request, you must use a different email address than the one used for your first request.

Rehearsal Notes

  • Most rehearsals take place at McCormick Place West
    • Level 1: W194 AB
    • Level 4: W470 AB
  • Rooms will include:
    • Chairs
    • Music stands
    • Conductor’s podium and stand
    • Large percussion instruments
      (Rehearsal percussion may differ from performance equipment.)
  • Ensembles may also rehearse at their conference hotel, but arrangements must be made directly with the hotel. Midwest cannot provide equipment outside McCormick Place West.
  • Additional rehearsal requests may be submitted through November 20.

Final Program Submissions

August 28
Submit final program drafts to your Board Liaison for review.

August 28 – September 11
Directors and liaisons finalize program details.

September 11
Submit your formatted final program to the Midwest Clinic Office

September 18
Directors will be notified if the program is approved or requires final adjustments.

Once approved, programs may not be changed.
