Hello Directors,

This is a reminder that all ensembles should be working with their Board Liaisons to finalize programs for submission.

Final programs must be submitted to [email protected] by September 11.

This memo outlines your September deadlines and a few items to begin preparing for October. As the fall becomes busy, please review the CALENDAR section of the Performer Handbook for a full list of deadlines.


Bios, Photos, and Ensemble Information

All photos must be uploaded to the Performer Intranet by September 18, including:

  • Directors
  • Conductors
  • Guest Conductors
  • Soloists
  • Guest Artists
  • Final Ensemble Photo

Not all items are uploaded in the same location. A step-by-step guide to uploading information can be found on the HERE.

Performer Badges

Directors, performers, and guest artists/conductors will receive complimentary all-access badges for Midwest concerts, clinics, and exhibits.

To ensure we prepare the correct number of badges, please update the following on the Performer Intranet by September 18:

  • Number of performers
  • Conductor information
  • Guest conductor information
  • Soloist information

Detailed registration instructions will be shared in Memo #8.

Copyright Notice for Mark Custom Recording

Directors must submit a clear scan of the copyright notice page for each piece performed.

This page is the first page of music showing:

  • Title (top center)
  • Composer/Arranger (top right)
  • Copyright notice (bottom center)

This is not the cover page of the score.

Submit to [email protected] by October 1.

Equipment Requests

Please ensure your equipment requests are accurate, as changes become more difficult closer to the conference.

  • Large percussion instruments must remain on stage during your performance unless you bring your own.
  • Due to sourcing and shipping limitations, we may not be able to accommodate all equipment requests. If so, we will notify you as soon as possible.

Submit requests through the EQUIPMENT section of the Performer Handbook.

Setup Charts

Please complete your setup chart carefully and clearly, as this information is used by stage managers and setup crews.

Important notes:

  • Setup charts must be submitted as PDF files.
  • A concert grand piano will be on every stage (except W184) and must appear on your setup chart even if unused.
  • Pianos and risers cannot be moved or removed.
